Orchard Hills Animal Hospital Appointment Cancellation & No-Show Policy

At Orchard Hills Animal Hospital, our goal is to provide individualized medical care for every patient. Missed appointments, late cancellations, and last-minute rescheduling prevent other pets from receiving timely medical attention and result in unused appointment times that could have been offered to patients in need.

To ensure we can continue providing the highest level of care to all our patients, the following policy is in effect.

Definitions

No-Show: An appointment that is missed without any prior notification to our hospital.

Late Cancellation: An appointment canceled with less than 24 hours’ notice.

Late Reschedule: An appointment rescheduled with less than 24 hours’ notice.

Late Arrival: A client who arrives 15 minutes or more after the scheduled appointment time.

Appointment Policy

Due to an increasing number of missed appointments, same-day cancellations, and last-minute rescheduling requests, combined with a high demand for veterinary services, Orchard Hills Animal Hospital has implemented the following policy:

  • Appointments that are missed without notice (“No-Show”) will be charged the full exam fee. 
  • Appointments canceled with less than 24 hours’ notice will be charged the full exam fee.
  • Surgeries that are missed without notice (“No-Show”) will be charged a $150.00 surgery slot fee.
  • Surgeries canceled with less than 48 hours’ notice will be charged $150.00 surgery slot fee.
  • Appointments rescheduled with less than 24 hours’ notice may be charged the full exam fee.
  • Clients arriving 15 minutes or more late may be required to reschedule their appointment or asked to drop off their pet so the doctor can examine it when time allows.

We understand that emergencies and unforeseen circumstances can occur. Exceptions may be considered at the discretion of hospital management.

How to Cancel or Reschedule an Appointment

If you need to cancel or reschedule your pet’s appointment, please contact us at least 24 hours before your scheduled appointment time.

If you are unable to reach a receptionist, please leave a detailed voicemail including your name, your pet’s name, and the appointment date and time. Voicemails received at least 24 hours before the scheduled appointment will be considered sufficient notice.
